Branded notebooks: how to choose and brand them

Short answer

For most branded notebooks, a debossed logo on the cover is the best choice: subtle, tactile and permanent, because there’s no ink to wear off. Hot foil adds a metallic finish. Printing suits full-colour or patterned covers. Add good, heavy paper and a binding that lasts, and it’s a notebook your team reaches for every day.

Which branded notebooks to choose.

Start with how people will use it: at a desk, in meetings or on the move. Those answers decide the cover, the paper and the binding.

Cover
PU and other leather-look covers take a deboss beautifully. Card, fabric and recycled covers suit full-colour print. Real leather feels premium, but you need to be comfortable giving an animal product.
Paper
Check the weight in gsm and the finish. Around 80–100 gsm is a sound everyday range, and 100–120 gsm feels more premium. Coating and finish matter as much as weight for stopping ink showing through.
Ruling
Ruled pages suit meeting notes, dotted pages suit sketching and planning, and plain pages suit designers. Pick the one your team will actually use.
Binding
A sewn, lay-flat binding opens flat for easy writing at a desk. Wire binding folds back on itself, for notes on the move.
The details
An elastic closure, a ribbon marker, a pen loop or a back pocket turns a notebook into a gift. Each one is also a place for a brand colour.
Paper with a story
Recycled and tree-free papers, such as sugarcane fibre, suit a sustainability brief: Black Forest Labs chose a Stylo sugarcane notebook. Ask for the certificate behind any paper claim.

How to brand notebooks: the best decoration methods.

  1. Debossing

The logo is pressed into the cover with no ink, so it can’t rub off. It shows through depth and shadow, which makes it a quiet, durable way to brand a PU or leather-look cover.

    Debossing
  2. Hot foil stamping

A heated die presses a thin metallic or coloured foil onto the cover. It suits gold, silver or one brand colour on a smooth cover. Deep grain makes fine detail harder to hold.

  3. Printing on the cover

Screen, digital or UV print, depending on the cover material. It suits multi-colour logos, patterns and full-cover designs on card or printed hardbacks.

    Screen printing
  4. Laser engraving

A laser marks the cover tone on tone. It suits some PU and natural covers, and gives a crisp, permanent mark without ink.

Where the logo goes.

The front cover, centred or in the bottom-right corner, is the classic spot. A second, smaller mark on the back cover or spine is a detail people find later. Inside, a printed first page or endpaper gives you room for a welcome message, and the closure strap can carry a brand colour.

Artwork tips for notebooks.

  • Supply a vector logo. Debossing and foil use a metal die made from your artwork, so the die is only as clean as the file.
  • Avoid hairlines. One notebook maker recommends debossed lines of at least 0.3 mm on PU and hardcover board, and the same for foil on textured PU. Thinner strokes press unevenly or fill in, especially on grained covers.
  • Give reversed shapes room. Gaps inside letters and knocked-out shapes need a little more space (the same maker says 0.4 mm), or they pinch closed under heat and pressure.
  • Go bolder on paper covers. Go heavier on soft card and paper. For foil and embossing on paper, the trade body suggests rules of 2 pt (about 0.7 mm) or more. We confirm the specification for every order.

Making it last.

Foil and print sit on the surface and can scuff with heavy use, so keep them away from the spine edge, where hands and bags wear the cover most.

Worth knowing

FSC labels mean different things. FSC 100% paper comes from FSC-certified forests, FSC Mix combines certified, recycled or controlled wood, and FSC Recycled is 100% recycled.

Packaging and presentation.

A notebook is often the centre of a welcome pack or a desk set, so how it arrives matters. A branded band around the cover, a sticker seal or a printed box turns it into a gift. Pair it with a pen in the same colour, and a bottle or laptop sleeve if it’s part of a larger collection.

  • For the rest of the collection. Match the cover colour and finish to the other pieces people will carry with it. Branded swag

An A5 notebook with a debossed logo and a matching pen is a piece people use daily: it goes to the first meeting and stays on the desk.

  • Clients

A premium cover, good paper and a quiet tonal deboss make a notebook a desk gift a client keeps. Add a personal note on the first page.

A lighter card-covered notebook with a printed cover suits larger numbers and gives attendees something to write in on the day.

Questions about branded notebooks.

Debossed or foil logo on a notebook?

Deboss for a quiet, tonal mark that can’t wear off. Choose foil when you want the logo to catch the light, in gold, silver or one brand colour. Foil needs a slightly bolder logo, because fine lines don’t hold it cleanly on a grained cover, and it can scuff with heavy use.

Should I emboss or deboss a notebook?

Debossing is usually the better choice for notebook covers. The logo is pressed down into the cover, so it sits below the surface and doesn’t catch on bags or desks. Embossing raises the logo instead.

Can you print a full-colour logo on a notebook?

Yes, on covers that take print, such as card, printed hardbacks and some fabrics. Screen, digital and UV printing are the usual routes. Debossed, foiled and engraved logos are single-colour by nature, so pick print when the colour is the point.

What paper weight is best for a notebook?

For everyday writing, around 80–100 gsm balances feel, thickness and cost, and 100–120 gsm feels more premium. Weight isn’t the whole story: a coated or well-finished lighter paper can resist ink showing through better than a heavier uncoated one.

What is branded stationery?

Notebooks, pens, desk pads, sticky notes and folders carrying your logo. Notebooks and pens are everyday pieces, which is why they often turn up in welcome packs and client desk sets, often alongside a bottle or a tote.
